It’s always wise to work from a computer repair checklist when performing any work on a client system. This becomes especially important as your staff grows, as it can enforce good practice and compliance with the way you want your company to do things.

This article makes some suggestions for items you can include on a computer repair checklist. This is, by no means, a rigid or definitive list – you can adapt it for the way you do things. Nor does “checklist” have to mean a list on a physical piece of paper. You could equally integrate the checklist into your call logging system and complete the items on it on a tablet, PC, or laptop.

Computer Repair Quote Considerations

Using a computer repair quote is an essential way to let your clients know what they can expect from you and at what price. The services that you plan to provide should be clearly defined, and any parts that are required should be itemized. The likely time required to complete the job should also be included, along with your company’s terms and conditions of service.

  1. Your time - An important aspect of your computer repair quote is your estimate of the time that it will take you to complete the work. You should plan the job realistically and show on the quote how long it is likely to take and what your hourly or daily rate is. Remember that any constrictions such as delivery timescales should be built into the overall time that it is likely to take to complete the work. Though you will not in all likelihood be charging for the time that you have to wait for deliveries, it should be made clear to the client how long they may be expected to wait for any parts once they have accepted the quote. This practice is designed to avoid any misunderstandings about how quickly the work can be undertaken.

  2. Parts - All parts should be itemized on the quote. This ensures that the client understands the cost of each element and how it contributes to the total prices of the repair. Ensure that you are clear as to how much the parts will cost you, so that you can make a profit on each one or at least recoup your costs, depending on your business model in respect of charging for parts. Remember to include the cost of any software or licences when listing the parts, itemizing them just as you have for the physical components. If renewals will be required at a future point, this should be mentioned in the quote as well, though the costs themselves may not be incurred until a later date.

  3. Margin for error - As all IT professionals are aware, even with extremely careful planning surprises can happen. Make sure that you take this into account when preparing your quote so that you can include a margin for error. It is perfectly acceptable to state on the quote that the work should take a certain number of hours or days, but that any additional time required will be charged at a set rate. Including this error margin means that the client will be clear from the outset that any overrun of time will cost them and that you are not committing to an open-ended repair timeframe at your own expense.

  4. Travel and transportation - You should ensure that you build in the cost of your travel – and the time that it takes you – into your computer repair quote. These costs do not need to be explicitly stated. If you prefer, they can be built into your overall time estimate and hourly rate, rather than included as separate items. The transportation of any parts that are required should also be built into the quote. While it is possible for you to transport smaller parts yourself, larger items may need to be delivered, either to the clients premises or your own. If they are delivered to your own place of work, safe and appropriately insured transportation to the client’s site must then be arranged. However you chose to handle the logistics, ensure that the client covers the costs and that they are included in the initial quote rather than added on later.

  5. Making a profit - It’s a simple point, but you should always remember that the purpose of the computer repair quote you are working on is to generate profits for you and your business. By ensuring that the steps above are covered, you should be well on the way to producing a realistic quote that includes an acceptable profit margin. However, it is important to go back over the full document to check that everything has been included and at the correct price. Be sure to check your stated terms and conditions as well – even if you use a standard block of wording it will still benefit from being reviewed periodically to ensure that it remains current. It is good practice to include your payment terms on the quote as part of the standard terms and conditions, so that the client is clear on what is expected of them from the outset.
